Privacy Notice

Who we are

The Orbis Hong Kong Private Networking Dinner 2026 (the “Event”) is organised by Orbis (“we”, “us”). For privacy enquiries, write to privacy@2026only.vip.

What we collect

When you confirm attendance via the RSVP form, you provide:

• Full name
• Email address
• Phone number (including country code)
• Country or region of residence
• Number of accompanying guests
• Arrival date
• Any special requirements you choose to share (dietary, accessibility, flight details)

Our server also records the timestamp of your submission and the originating IP address. This is used solely to prevent abusive automated submissions; we do not combine it with the information you submit for marketing.

Why we collect it

• To confirm and manage your seat at the Event.
• To arrange hotel, dinner and reception logistics on your behalf.
• To contact you about Event-related updates (schedule changes, venue notes, on-site logistics).
• To meet any reasonable special requirement you tell us about.

How it is stored and who can see it

Your submission is stored in a secure, access-controlled record maintained by the Orbis events team. Access is limited to the personnel responsible for guest coordination and the venue. We do not sell, rent or share your information with any third party except the venue and trusted vendors directly supporting the Event (such as catering and transport), and only to the extent required for those services.

How long we keep it

We retain RSVP records for up to 12 months after the Event concludes (until 28 June 2027), after which they are deleted unless you have explicitly asked to remain on our private mailing list for future events.

Cookies and analytics

This site does not use advertising cookies, third-party analytics or tracking pixels. The only third-party request your browser makes is to Google Fonts to retrieve typography. We do not embed remarketing tags.

Your rights

You may, at any time, ask us to:

• Confirm what information we hold about you.
• Correct any inaccurate information.
• Delete your record once it is no longer needed for the Event.
• Withdraw your attendance.

To exercise any of these, email privacy@2026only.vip from the address you used to RSVP. We will respond within 14 days.

Security

Submissions are transmitted over TLS. Our admin interface is restricted by authentication. We follow industry-standard practice to protect the data you share, but no system can be guaranteed to be perfectly secure. If you believe your data has been mishandled, contact us immediately so we can investigate.

Changes to this notice

We may update this notice if our processes change. Any material change will be reflected in the “Last updated” date above and, where appropriate, communicated to you directly.
